The total output income of a company is divided by the total input workload to gain the productivity percentage. So, the arithmetic formula to calculate the productivity range is as follows.

How to Calculate Productivity Percentage in Excel: 3 Cases

The most common thing while calculating productivity percentages is that you have to divide the actual or target production by the achieved or output production first. Then you need to convert the number into percentages. To make your Excel journey smoother, we’ll show you a different way to show the percentage for each case. Here, we have taken a dataset of a company’s Total Output and Total Working Inputs. We took the No. of Labors and their corresponding Working Hours, No. of Machines with their Working Time, No of Products produced Per Day, and the No. of Employees.
Not to mention, we have used the Microsoft 365 version. You can use any other version at your convenience.
1. Finding Labor Productivity Percentage
You can calculate the labor productivity percentage by the ratio of the total output income and the total working hours of the labor force. You can get the total working hours of the laborers by multiplying the total labor by the working hours per day. Then we convert it to a percentage using the Percent Style button. Follow the steps to get a proper idea.
📌 Steps:
- First, you must multiply the number of laborers by their corresponding working hours per day.
- To do the operation, go to cell F5 and enter the formula
- Consequently, press ENTER and drag down the Fill Handle tool for other cells.
- Then, move to cell G5 and write up the formula.
It will divide the Output Amount by the Total Working Hours.
Eventually, you will get productivity. Now, you need to convert it into percentages.
- Afterward, to convert the values into percentages, select the entire column of G and go to the Home tab >> choose Percent Style under the Number command.
Finally, you will get the Productivity Percentage.
2. Finding the Productivity Percentage of Machines
It also follows the same procedure to calculate the Productivity of the Machine while calculating the Productivity of the Labor. Here we describe the use of the Format Cells method to show the percentage. Go through the steps to do it.
📌 Steps:
- Firstly, go to cell F5 and insert the formula to get the Total working Hours of Machines.
Here,
D5 = Machine Working Hours.
E5 = No. of Machines.
- Subsequently, press ENTER, and you will get the result just like the image below.
- Then, go to cell G5 and enter the formula.
It will divide the value of C5 by the value of F5 to get Productivity.
- You will get your answer after pressing ENTER and dragging it down gradually.
- Now, for converting to the percentages, select the entire range and go to the Home tab >> click on Number Format.
- After that, the Format Cells dialog box will appear. From there select Percentage and hit OK.
Note: Just press CTRL + 1 to open the Format Cells dialog box.
Finally, you will get the desired result in the percentage format.
3. Estimating the Productivity Percentage of Products
Generally, you can calculate the productivity percentage of products by dividing the output income by the total number of products. Thus, you will get productivity for each product. Next, convert the decimal value into percentages by applying the keyboard shortcut. We have attached the steps to give you a basic visualization.
📌 Steps:
- Firstly, select cell E5, and enter the formula.
- Then, press ENTER and drag it down for other cells.
- Sequentially, you will get the result in decimal format.
- Now, select the entire range of Productivity and simply press CTRL + SHIFT + 5 to get the result in percentages form.

How to Calculate Productivity Per Employee
Sometimes, you may need to calculate per-employee productivity, or how much production is available per employee. Though it is a process to calculate productivity, it is not displayed through percentages. Follow the steps to do it.
📌 Steps:
- Initially, move to cell E5 and insert the formula.
Basically, it will divide the value of C5, which is the total output amount for your production, by the total number of employees.
Eventually, you will get the Per Employee Productivity after pressing ENTER and dragging it down to cell E9.
